Founder's note

About Donna365

We built Donna365 because founders should not be the workflow engine.

Who built it

The companies behind Donna365

Donna365 was not built in a lab. It was built by a Microsoft delivery firm and a working family-law practice, around the way Australian firms actually run matters.

The build

Evocate

evocate.com.au

The Microsoft-native technology firm that designs and builds Donna365. Evocate has delivered cloud, licensing and managed services to Australian organisations since 2009, and brings the Microsoft 365, Azure and Dataverse engineering that Donna365 runs on.

Donna365 is built where Australian firms already work, because that is the environment Evocate has spent more than a decade delivering and governing.

The practice

The Family Lawyer

thefamilylawyer.com.au

The flagship family-law firm whose real matters shaped Donna365's first practice pack. Intake, property settlement, parenting arrangements, chronology work and court-driven deadlines were the operating pressure the product was designed around.

Family law concentrates every risk a small firm carries, which is why it is where Donna365 started. The Family Lawyer is the proving ground, not a hypothetical.

Donna365 is the product. Evocate builds it; The Family Lawyer proves it in live practice.

Overview

Why we built it

For nine months I watched the same pattern fail in practice: matters opening five different ways, AI running loose with nobody watching it, reporting rebuilt from scratch every fortnight, and principals working Sundays because they were the only thing holding the firm together.

So I built the assistant I wanted on my own worst weeks. Donna365 is to a principal what Jarvis is to Iron Man. She holds the whole matter in her head, drafts in your voice, watches every deadline, and hands you the next move before you go looking for it. She lives inside the Microsoft 365 your firm already runs on, so none of this means learning another tool.

Donna does not replace the lawyer. She gives the lawyer their evenings back. These days I do not open the firm in the morning wondering what is on fire. I open Donna, and she already knows.

How it works

What we believe

Founders should not be the workflow engine.

A firm that depends on one person remembering everything has a cap. Donna365 makes the operating discipline live in the system, not in your head.

In legal AI, the rules are the product.

Lawyer-in-the-loop, matter-scoped retrieval and a complete review trail are product constraints, not afterthoughts.

Discipline you can see.

Stages, owners and deadlines on every matter, surfaced where your firm already works (Teams and Outlook), not buried in another app.

In practice

The three governance principles

01 · Human authority.

Every external communication requires an explicit lawyer review and approval before it leaves Donna’s drafting surface. There is no auto-send mode, and no override.

02 · Scope discipline.

Donna retrieves only what the requesting lawyer is permissioned to read in the matter. No cross-matter bleed. No internet retrieval. No training on customer matter content.

03 · Provenance.

Donna actions (prompts, sources, outputs, reviewers and timestamps) are intended to be recorded in a matter-scoped review trail that can support governance and compliance review.

Trust signals

Trust signals that hold up in the room

Launch-day buyers need more than confidence language. These signals anchor Donna365's product story in official Microsoft and AUSTRAC guidance, with clear boundaries around what the platform is designed to support.

01 Microsoft tenant-first

Built around the stack firms already govern

Donna365 is designed around Outlook, Word, Teams, SharePoint, Dataverse and Entra ID, keeping matter work close to existing identity, permission and administration controls.

  • Dataverse supports role-based security and audit logging for customer-record changes and user access.
  • Power Platform data policies give administrators governance controls over connector use.
02 AI data boundaries

A stronger answer on model training risk

For Azure OpenAI and Foundry models sold by Azure, Microsoft documents that prompts, completions, embeddings and training data are not used to train foundation models without permission or instruction.

  • Donna365 is designed to keep outputs matter-grounded and reviewer-approved.
  • External communications are designed to remain human-approved, not auto-sent.
03 AML/CTF timing

Designed for the July 2026 readiness window

AUSTRAC states AML/CTF law extends from 1 July 2026 to certain services typically provided by lawyers, conveyancers, accountants and other tranche 2 entities.

  • Intake can prompt for KYC, beneficial-owner and source-of-funds information.
  • Missing information can surface as an exception with a clearer evidence trail.
04 Audit-ready matters

Review evidence belongs inside the matter

Donna365 is designed to capture matter state, AI prompts, sources, outputs, reviewer decisions and timestamps so principals can see what happened without reconstructing work from inboxes.

  • Microsoft 365 audit logs record many user, admin and application activities, subject to tenant configuration and licensing.
  • Dataverse audit logs can support record-level review where enabled.

Trust signals are based on official public sources and Donna365 product design commitments. Compliance remains the firm's responsibility.

FAQs

The questions principals
actually ask

For firms that choose that path, yes. Donna365 is designed to take on the operating role of practice management, intake, workflow, documents, client communication, reporting, governed AI and legal research inside one Microsoft-native layer. Firms already using another PMS can phase adoption while they decide what should stay, integrate or retire.
Donna365 is designed around your Microsoft 365 tenant as the work surface, using Dataverse as the structured matter spine and SharePoint for documents. Deployment and region settings are confirmed during onboarding. The operating model is built around your firm’s identity, permissions and data controls, without training AI on customer matter content.
Donna is persistent and matter-grounded: drafting, summarising, triaging, researching, proposing next steps, preparing time entries and surfacing exceptions for lawyer review. Donna is designed not to auto-send external correspondence, read outside permissioned matters, or operate outside the matter review trail. Every output should be reviewable with provenance.
The launch model targets 30 days for one practice pack, with a named champion group of 3–5 people. We keep year-one scope disciplined so delivery stays repeatable. Additional practice packs are scoped separately. If a firm needs a heavily bespoke enterprise rollout, we will be direct about fit before taking the engagement.
Donna365 can build Part B beneficial-owner capture, KYC checkpoints, source-of-funds prompts and audit trails into the intake workflow. Compliance remains your firm’s responsibility; Donna365 helps make the operating evidence clearer and more repeatable.
The operating model is designed around customer-controlled Microsoft 365 data. Contract terms should include a data-export commitment for workflow configuration, review trails and reporting data in standard formats. We expect firms to stay because the product earns it, not because exit is painful.
